كَمَالٌ: نَقْتَرِحُ أَتْمَتَةَ مُطَابَقَةِ الْفَوَاتِيرِ بِأَوَامِرِ الشِّرَاءِ فِي شَرِكَتِنَا. هَدَفِي تَقْلِيلُ الِانْتِظَارِ، لَكِنَّنِي لَا أُرِيدُ أَنْ نَسْتَبْدِلَ عَمَلًا مُتْعِبًا بِمُشْكِلَاتٍ يَصْعُبُ اكْتِشَافُهَا بَعْدَ الدَّفْعِ.

هُدَى: وَسَأَجْعَلُ سَبَبَ الْمُطَابَقَةِ ظَاهِرًا: رَقْمَ الطَّلَبِ وَالْمَبْلَغَ وَتَأْكِيدَ الِاسْتِلَامِ. لَنْ يَحْتَاجَ الْمُرَاجِعُ إِلَى الثِّقَةِ بِإِشَارَةٍ خَضْرَاءَ وَحْدَهَا، بَلْ سَيَسْتَطِيعُ تَتَبُّعَ الْبَيَانَاتِ الَّتِي اسْتَنَدَتْ إِلَيْهَا.

بَاسِمٌ: وَأَقْتَرِحُ مُرَاجَعَةَ عَيِّنَةٍ مِنَ الْحَالَاتِ الَّتِي اتَّفَقَا عَلَيْهَا أَيْضًا. فَقَدْ يَعْتَمِدَانِ عَلَى بَيَانٍ نَاقِصٍ وَاحِدٍ، وَيُخْفِي اتِّفَاقُهُمَا الْمُشْكِلَةَ إِذَا عَدَدْنَاهُ دَلِيلًا كَافِيًا عَلَى صِحَّةِ النَّتِيجَةِ.
كَمَالٌ: لِنَضَعْ شَرْطًا لِلتَّوَقُّفِ: إِذَا قَبِلَ النِّظَامُ فَاتُورَةً مُكَرَّرَةً، نُوَقِفُ تَجْرِبَتَهُ حَتَّى نَفْهَمَ السَّبَبَ. سَأَتَحَمَّلُ مَسْؤُولِيَّةَ هَذَا الْقَرَارِ، وَلَنْ نَنْتَظِرَ نِهَايَةَ الْأَسَابِيعِ الْأَرْبَعَةِ لِمُنَاقَشَةِ خَلَلٍ كَهَذَا.

Kamal: We propose automating the matching of invoices to purchase orders in our company. My aim is to reduce waiting, but I do not want to replace tiring work with problems that are difficult to detect after payment.
Huda: In the internal test, the system matched eighty out of a hundred invoices and referred the remaining twenty for review. That describes its matching capability; it does not establish that every matched invoice should be paid.
Basim: That distinction matters to employees. Sometimes the figures agree, but the shipment has not arrived in full. A colleague knows this from a warehouse message that does not appear in the system’s current fields.
Kamal: Then we will not make matching automatic permission to pay at this stage. Who confirms receipt of the goods, and who can stop the process if the data conflict with an employee’s knowledge?
Huda: I can add warehouse confirmation before sending an invoice to accounts. Every reviewer can be allowed to pause the process, with a field explaining their reason for challenging the recommendation.
Basim: I agree, provided recording a reason does not become a penalty for delay. If an employee fears a lower appraisal, they may pass a doubtful case to maintain their apparent processing speed.
Kamal: We will exclude justified hold time from the employee’s speed measure, but include it in the time for the whole process. We should not make the system appear fast by hiding the work of those correcting its errors.
Huda: I will make the reason for a match visible: the order number, amount and receipt confirmation. Reviewers will not have to trust a green indicator alone; they can trace the data on which it was based.
Basim: We also need to test cases employees remember from experience, such as split invoices and returned goods. Testing only straightforward transactions could give us false reassurance.
Kamal: Gather these cases during two paid working hours, not after the shift. I want their expertise to form part of designing the rules, rather than merely provide an emergency service when something fails.
Huda: Some exceptions require a business decision, such as accepting a difference in the amount. I can implement a decision once approved, but determining what we accept is not the engineer’s responsibility alone.
Basim: Nor should it rest with the reviewer who discovers the difference. I suggest sending the case to the accounts supervisor, who records their decision and reasons rather than returning it to the employee without clear guidance.
Kamal: We will adopt that, and I will be the escalation point if an exception is unresolved after one working day. Changing a general rule requires my approval after input from accounts, the technical team and the employee representative.
Huda: We should distinguish approval of one invoice from changing a rule applying to all. I will store the rule version with each recommendation so we can later understand why two cases were handled differently.
Basim: What about the trial’s effect on jobs? Colleagues may hesitate to share their knowledge if they think every minute saved will be used as grounds to reduce their team without discussion.
Kamal: I commit to no reduction in employee numbers because of this trial during its four weeks. The next stage requires a separate decision and an announced discussion; I do not want to promise beyond my authority.
Huda: During the trial we will run the system on invoice copies alongside the current process. It will not send actual payments, and we will compare its recommendations with reviewers’ decisions after each has worked independently.
Basim: This reduces pressure on reviewers to agree with the system, but temporarily increases work. Please reduce other duties for the trial team and record training and comparison time separately.
Kamal: I will redistribute duties. We will measure transaction time, incorrect matches and held cases. I also want to know whether effort has shifted from accounts to the warehouse rather than decreased.
Huda: We will separate setup cost from recurring operating time while showing both in the report. We will review any invoice accepted by the system and rejected by an employee, without assuming in advance that either is right.
Basim: I suggest also reviewing a sample of cases on which they agreed. Both might rely on the same incomplete information, and their agreement would conceal the problem if we treated it as sufficient evidence of correctness.
Kamal: Let us set a stopping condition: if the system accepts a duplicate invoice, we stop its trial until we understand why. I will take responsibility for that decision; we will not wait until the four weeks end to discuss such a failure.
Huda: I will enable the accounts supervisor to stop operation as soon as that case is detected and then inform you. Any restart will be preceded by a documented fix and test; deleting the invoice from the trial data will not be enough.
Basim: I want the person who reported the failure to receive a response explaining what happened. Reporting without follow-up weakens trust and makes an employee think their observation went into a file nobody reads.
Kamal: I will send that response, and we will present the results to the team before any expansion. Successful matching will not mean adopting automatic payment; that is another decision requiring further evidence.
Huda: Tomorrow I will prepare the test version and decision log, leaving payment disabled. Before we begin, we will practise holding an invoice, escalating it and stopping the system together, to ensure the responsibilities are clear in practice.
Basim: I will gather cases and nominate two colleagues for the trial, and explain the limits of the staffing commitment to the team. I support starting on these terms: automation’s value will emerge across the entire process, not in the speed of one screen.
