Layla: We spend three hours a week in progress meetings, often repeating information that is already written down.

Hassan: True, but live discussion reveals problems that do not appear in reports and helps us understand each other’s needs.

Layla: That is why I propose keeping meetings for joint decisions and obstacles needing discussion, rather than cancelling them all.

Hassan: How will we know what each colleague has accomplished if they do not present their progress at the meeting?

Layla: Each of us writes a brief update before noon on Monday: achievements, the next step, and any obstacle.

Hassan: I worry we will replace meetings with long reports that take more time to prepare and read than we save.

Layla: We set a limit of three short points. A focused update is better than a long report for this purpose.

Hassan: And who ensures colleagues will read it? Writing information down is not enough if nobody follows it up.

Layla: We agree to read updates by the end of the day and put questions in the same shared space.

Hassan: I have another reservation: a new colleague may hide their confusion if they feel their writing must be perfect.

Layla: We make clear that simple questions are welcome and keep a weekly half-hour meeting for coordination and questions.

Hassan: That is closer to what we need. But what if work depends on a decision that cannot wait?

Layla: We hold a short discussion with only those involved, provided we define the question to resolve before inviting them.

Hassan: I also prefer recording the decision we reach, so absent colleagues understand what changed and who will implement it.

Layla: Agreed. We record the reason too, so we do not repeat the discussion when someone first asks about it.

Hassan: I support trying this for two weeks, but would not adopt it permanently before seeing its effect on coordination.

Layla: I will prepare a short update template with an example distinguishing an achievement from an obstacle.

Hassan: After the trial, I will ask colleagues what information they missed and how easy it was to ask questions.

Layla: We compare the time saved with the time spent writing and reading updates. Meeting count alone is insufficient.

Hassan: If coordination suffers, we adjust the approach rather than insist on fewer meetings at any cost.

Layla: Exactly. We want more time for focused work while keeping important information clear to everyone.

Hassan: Then we begin with a limited trial and an honest review, retaining meetings when they add real value.
