Nadir: I have become quality coordinator, but customer emails still reach me. What are the limits of my responsibility?

Rania: I expected you to keep replying temporarily until we arrange the handover. Has that begun affecting your new work?

Nadir: Yes. The new report needs morning concentration, and the emails take half my day. Changing the title alone is not enough.

Rania: I understand, but delayed replies may upset customers. Can you manage both this week?

Nadir: I will help with the transition, but I cannot guarantee both deadlines without adjusting the tasks.

Rania: That is a reasonable reservation. Which tasks do you suggest transferring first, and who can take them over?

Nadir: Mazen can handle replies to frequently asked questions. As for complex cases, we need to define their handling process.

Rania: I agree in principle, but Mazen does not know the procedures yet. An immediate transfer may increase errors.

Nadir: I will train him for an hour daily over the next three working days and prepare a step-by-step guide.

Rania: Where will training time come from? We do not want the handover to burden you further.

Nadir: We postpone updating the internal archive during those days. It matters, but it is less urgent than the report and handover.

Rania: Accepted. The report comes first, and training stays within working hours. We move the archive update to next week.

Nadir: When does my responsibility for replying end? I fear this arrangement becoming permanent.

Rania: After the three training days, Mazen takes over replies from the fourth day. Could you offer him brief support afterwards?

Nadir: Yes, if the support is limited. I suggest fifteen minutes daily for one week, for advice only.

Rania: Suitable. You advise him without replying on his behalf; he owns email follow-up after the handover.

Nadir: That distinction matters. What do we do if an urgent, complex case arrives that goes beyond his training?

Rania: He refers it to me to decide who handles it. If I need you, we will first agree which task will be postponed.

Nadir: So an urgent task is not added while all deadlines remain unchanged. That makes the priorities clear.

Rania: After two weeks, we will review the handover’s success and check that you have time for your new role.

Nadir: Please share the agreement with the team; the boundaries will not work if everyone continues directing emails to me.

Rania: I will send it today with the schedule and the names of those responsible. We aim for an orderly transition while maintaining service.
