Salma: The first hall is cheaper than the second: six hundred riyals, holding one hundred and twenty. It seems suitable.

Mazen: But it is upstairs and its lift is broken. Some participants use wheelchairs; how would they get there?

Salma: I overlooked that. Would volunteers’ help suffice, or should we find another venue?

Mazen: Assistance matters, but cannot replace an independently usable entrance. We should not assume anyone agrees to being carried.

Salma: The second hall is on the ground floor with a ramp outside. It costs nine hundred riyals but holds only eighty.

Mazen: We expect one hundred participants, exceeding its capacity. We should not solve entry access by excluding twenty people.

Salma: What about two sessions of fifty? We repeat the same content and let each participant choose a time.

Mazen: I support that, provided we do not assign a separate session based on disability. Does the rental cover both sessions?

Salma: Yes, the price covers the whole afternoon, but repeating the programme could increase the volunteers’ workload.

Mazen: We have two teams. We can divide tasks and allow a break between sessions without doubling each volunteer’s hours.

Salma: The event includes discussion. Getting everyone inside is not enough if they cannot follow what is said clearly.

Mazen: The hall provides a microphone and screen. We have a two-hundred-riyal quote for live captions in both sessions.

Salma: Our budget is twelve hundred riyals, with three hundred allocated to decorations. The new rental and captions would exceed it with decorations.

Mazen: Reduce decorations to one hundred, making the total twelve hundred. I prefer simple decorations to a service that excludes people.

Salma: Agreed. Accessibility is not measured by the entrance alone. Have we checked the pathways, toilet, and seating?

Mazen: Not yet. We will visit with participants willing to give feedback and review the route and seating arrangement.

Salma: Please ask about needs at registration and offer a contact number for anyone who does not use the online form.

Mazen: We will ask only what assistance is needed, without unnecessary health details, and allow updates before the event.

Salma: If the visit reveals a barrier we cannot resolve in time, what will we do?

Mazen: We will seek an alternative before confirming the venue. An entrance photograph is not enough to claim it suits everyone.

Salma: Then we will postpone the announcement until we verify the details. The aim is participation, not merely booking a hall.

Mazen: Agreed. After checking, we will confirm the revised budget and sessions, then send clear information about access and available assistance.
