Lina: Yesterday’s event was useful, but some visitors arrived late. What did you notice at the entrance?

Salma: I found three visitors in front of the back door. The sign pointed towards it, although entry was through the front door.

Lina: That is right. We changed the entrance this week but left the previous event’s sign in place.

Salma: I explained the way to them, and they reached the hall after the start. We could have avoided that delay.

Lina: Then we need to check all the directions before visitors arrive, even if we know the place well.

Salma: There was another problem: the printed programme did not match the order of the two activities in the hall.

Lina: We swapped their order at the last meeting, but I sent you the old version by mistake.

Salma: And I printed it without reviewing it with you. That is why some visitors were expecting a different activity.

Lina: It is not enough to say the organisation was poor. What matters is identifying the steps that need changing.

Salma: I agree. Let us make a small plan we can carry out and decide who will do each thing.

Lina: I will prepare the final version of the programme and put the update date clearly on it.

Salma: And I will review it with you before printing to make sure we are using the same version.

Lina: Good. And who will check the signs and the route to the hall on the day of the event?

Salma: I will. I will walk from the street to the hall and check the route from a new visitor’s point of view.

Lina: When shall we do that? We need time to correct any problem we find.

Salma: An hour before the start, then we will check together that the signs and programme are clear.

Lina: And let us not forget what worked too. Visitors said they liked the group activity and that it gave them a chance to participate.

Salma: Then we will keep that activity and improve the directions and programme. We do not need to change everything.

Lina: I will write the tasks and our names in one list, so each of us knows her responsibility.

Salma: And after the next event we will ask visitors how clear the entrance arrangements and programme were, to find out whether the changes worked.
